Job Description

Provides assistance and responds to channel partner requests in connection with technical parts issues regarding products. Ensures adequate stock is available for newly introduced equipment. Coordinates the activities in Customer Care to ensure complete customer satisfaction.


Provides dealer assistance pertaining to incorrect part numbers, substitutions, electronic parts catalog interpretations and machine usage to assure customers get correct parts. Assists the inventory control area by reviewing stock levels with special emphasis on newly introduced equipment. Coordinates the resolution of parts problems between parts distribution centers, factories, vendors and dealers regarding parts identification, mixed stock, defective stock or unshipped orders. Responds to dealer requests to expedite critical machine down orders through various contacts to assure customers of the most timely delivery of parts. Coordinates the activities in the Customer Care area to ensure complete customer satisfaction. Processes Machine Down Back Order reports, working with factories, depots, buyers and/or suppliers in an effort to proactively assign promise ship dates and provide customers with the earliest possible availability. Trains and assists dealer personnel with electronic ordering and information systems to maintain a high level of support to customers. Writes and prepares product bulletins for publication.
Specific Position Requirements

As a Parts Coordinator you will:

• Process Flash orders – daily reports on Factory & Vendor Flash orders. Identify where we have inventory available to fill the orders.
• Update client point order status to "send to factory" – working with PDC on which orders they will Flash or Send to the factory vs filling from PDC.
• Enter P dates – entering promise dates on when dealers can expect to have their order filled.
• Manage inventory/Backorders (reduce factory surplus) – analyzing backorders vs inventory available at the factory to fill.
• MSO’s – filling requests for non-service parts from the factory.
• Manage drop ins for manufactured parts – coordinate filling orders with factory Production Planning team
• Coordinate ISO shipping from factory (aligned with POF analyst) – initial stock orders for new product programs.
• Power BI Dashboard – top Flash/BO parts by supplier – work with factory/SM to fill orders.
• True Needs – included in true needs calls with suppliers to ensure Flash needs are prioritized.

Must Haves:

• Experience with Microsoft Office, especially Excel
• Ability to communicate and coordinate effectively with other departments, suppliers, etc.
• Proficiency in analyzing data in order to problem solve
• Comfortable with decision-making
