Position OverviewWe are seeking a highly organized and proactive Administrative Assistant to support daily business operations and leadership activities. This role is critical in ensuring smooth coordination across teams, maintaining schedules, and managing logistics with a high level of precision and professionalism.The ideal candidate is detail-oriented, an excellent communicator, and thrives in a fast-paced environment where organization and people skills are essential.Key ResponsibilitiesCalendar & Scheduling ManagementManage complex calendars, including scheduling meetings across multiple time zonesCoordinate internal and external meetings, ensuring alignment of availability and prioritiesProactively resolve scheduling conflicts and optimize time managementTravel CoordinationArrange and manage domestic and international travel logisticsCoordinate flights, accommodations, transportation, and itinerariesEnsure all travel plans are organized, communicated, and compliant with company policiesMeeting & Workshop CoordinationOrganize meetings, workshops, and events end-to-endPrepare agendas, materials, and follow-up communicationSupport logistics such as booking rooms, coordinating attendees, and managing schedulesTeam & Stakeholder CoordinationAct as a central point of coordination across teamsFacilitate communication between stakeholders to ensure alignmentSupport team organization and operational efficiencyAdministrative SupportMaintain organized records and documentationAssist with reporting, presentations, and general administrative tasks as neededHandle confidential information with professionalism and discretion
Qualifications & RequirementsExperienceMinimum of 5 years of experience in an administrative or executive support roleCore SkillsExceptional organizational and time management skillsStrong ability to manage complex schedulingExperience coordinating travel arrangements (local and international)Proven track record in meeting and event coordinationPeople & Communication SkillsExcellent interpersonal and communication skillsAbility to work effectively with diverse teams and stakeholdersStrong coordination and collaboration abilitiesWork StyleHighly detail-oriented and proactiveAbility to manage multiple priorities simultaneouslyProfessional, reliable, and adaptable in a dynamic environment
