Job Description

Description:

  • The client is looking for a motivated and detail-oriented Administrative Assistant, who thrives in a fast-paced setting. This role will assist in efficient support operations of the client office and provide support to the Chief Financial Officer.

Key Responsibilities:

  • Administrative Support: Provide vital administrative support to ensure the office operates smoothly and efficiently.
  • Versatile Duties: Handle day-to-day tasks such as calendar management, travel and expense management, filing, typing, copying, and scanning, contributing to the organized flow of the department.
  • Office Management: Ensure that the office is well stocked with supplies, kept clean. Order and set up for lunches, events and meetings. Clean up and lock up.
  • Communication: Act as the first point of contact for team members, delivering warm, professional interaction.
  • Data Management: Maintain, organize, and update client and office records with utmost confidentiality and accuracy.
  • Project Coordination: Support various team projects and initiatives, ensuring deadlines are met and goals are achieved.
  • Team Support: Facilitate strong communication and organizational tasks to support the entire team. Strong willingness to collaborate with team and provide support as needed.

Skills/Qualifications:

  • Experience: Minimum of 5 years in an administrative role, with a track record of exceptional organizational skills.
  • Attention to Detail: Exceptional accuracy and thoroughness in all duties.
  • Technology Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with office management software.
  • Time Management: Ability to prioritize tasks and meet deadlines efficiently.
  • Communication Skills: Excellent verbal and written communication abilities.
  • Interpersonal Skills: Strong ability to build relationships and work collaboratively.
  • Confidentiality: Ability to handle sensitive information with discretion.

Note:

Onsite

Weekly Schedule: 9:00AM – 5:00PM; Monday thru Friday. Some overtime required.
