Description:JOB SUMMARY:The Administrative Coordinator will provide excellent customer service for both internal colleagues and external customers, resolving routine and non-routine administrative issues. The individual will be responsible for effectively assisting the maintenance of the assigned office location and ensuring that colleagues and visitors are able to effectively work in the location, while adhering to the standard operating procedures outlined by the Workplace Services Manager.Essential Duties/Responsibilities:Receive, sort, and route incoming mail and faxes - 10%Print documents, make copies and ensure outgoing mail is processed daily - 45%Be point person for conference room calendar and work to ensure that colleagues maintain conference rooms. - 5%Ensure assigned office location is well-maintained, that all resources are in working order and that colleagues are able to work effectively - 5%Assist in coordinating the following events: meetings and events, office-specific events, executive visits, etc. - 5%Order, receive and, maintain kitchen and office supplies. - 5%Greet visitors (i.e., vendors, clients, interviewees, executives, etc.). - 5%Answer phones and route calls, and back up other administrative team members as needed - 20%Required for All Jobs:Performs other duties as assignedComplies with all policies and standardsQUALIFICATIONSEducation:High School Diploma requiredGeneral education, vocational training and/or on- the-job trainingWork Experience:Typically 1+ years experience in administrative role requiredKnowledge, Skills and Abilities:KSAs - ProficiencyAbility to multitask and handle multiple requests/projects simultaneously. - IntermediateAbility to communicate efficiently and effectively - AdvancedAbility to prioritize tasks and monitor progress with regards to your roles and responsibilities - AdvancedMotivated to work with a mindset to complete projects efficiently BasicSolid experience in Outlook, and general working knowledge of computer/printer/facsimile functions. - IntermediateFamiliar with Microsoft Office Suite a Plus - BasicProficient in using intranets and internet for business applications desired. - BasicStrong attention to detail. - BasicStrong organization skills and typing ability. - BasicAbility to exercise independent judgment to stay on course with job duties. - IntermediateTravel Requirements:Minimum travel required.Notes:On-siteVIVA is an equal opportunity employer.
