Job Description


BASIC FUNCTION:
This position is responsible for managing and controlling client property management functions within assigned state locations, including Safety; and overseeing and leading the efficient operation of the client facilities.

ESSENTIAL FUNCTIONS:
Full time and full scope management for company facilities in home state.

Comprehensive property management service function:

Physical Operations.. Construction Project Management.. Access Control/physical security coordination with the Safety & Security Department, including fire drills and inspections, post orders, and badge coordination.. Service Management
Oversee and coordinate facilities maintenance personnel. Ensure adequate coverage at all facilities under span of control.
Coordinate daily security activities, including systems, keys, operations, maintenance, or interfacing with security personnel.
Assist in planning and monitoring operating expense and capital budgets.
Promote Cost Control activities. Plan, assign, coordinate and monitor vendor-provided services, projects, inspections, leasehold improvements, or user service requests. Ensure that client security and safety policies are followed by outside vendors. (
AFR assists.)

Prepare specifications, conduct RFP and SOW process and recommends vendor selection for contracts on outsourced facilities services activities.
Oversee and monitor daily construction activities, and works to minimize disruption of critical business activities. Coordinate after-hours activities, such as notifications on bringing the system down.
Respond to all facility-related emergencies and equipment failures, takes control of the situation at the assigned facility, and coordinates/communicates with both Senior Manager and client support organization. On call for emergencies 24/7 to ensure continuous operations.
Participate in the process of user requests including approvals, coordination, budgeting, implementation and reconciliation in order to accommodate to growth/changes on time and within budget.
Coordinate with other client internal departments (administrative services, help desk, security, telecommunications, image, network planning, etc.) to ensure that user facilities needs are met and within client Facilities Department standards or guidelines.
Liaison with other building tenants regarding compliance with rules and regulations, enforcement of standard procedures, development and coordination of client programs and their use of common facilities for special events.
Inspect, document, perform, and/or oversees the repair and maintenance of a wide variety of building automation, mechanical and safety/security systems, physical structures, equipment, parking areas, and grounds. Follow department procedures and operating guidelines.
Recommend improvements to facility safety, security, or operations, in order to minimize risks of work stoppages and life safety threats. Oversee implementation.
Ensure compliance with laws and regulations governing facility operations.
Assist staff with miscellaneous activities, such as the hanging of pictures and boards and furniture repair.
Maintain accurate maintenance records and as-build drawings at the facility.
Communicate and interact effectively and professionally with co-workers, management, customers, etc.
Maintain complete confidentiality of company business.
Maintain communication with management regarding development within areas of assigned responsibilities and perform special projects as required or requested.

JOB REQUIREMENTS:
Bachelor Degree and 3 years experience in facilities operation, property management, asset management, or administrative real estate OR 7 years facility operations, property management, asset management, or administrative real estate experience.
Experience with electrical and mechanical trades, related to commercial property management.
PC proficiency to include Word, Excel, Access, PowerPoint and Outlook .
Clear, concise verbal and written communication skills.
Ability to engage in physical activity, including climbing ladders and lift to 80 pounds.
