3 days onsite and 2 days remoteDescription:Job Purpose:This position is responsible for coordinating and administering various responsibilities within the client Privacy Office, working with low and moderate risk issues and departments, as appropriate, to ensure client is compliant with various federal and state regulations. This position will oversee the annual updates of regulatory policies and procedures, ensuring all the client employees complete the regulatory training. Responsible for development and distribution of regulatory information via intranet and internet web site, tracking and reporting on a variety of required initiatives under federal and state laws.Job Responsibilities:Coordinates and administers various responsibilities within the client Privacy Office, working with low and moderate risk issues and departments, as appropriate, to ensure client is compliant with various federal and state regulations.Works with departments regarding process flows, updating on an annual basis (or obtaining certifications from managers that processes are current, as reflected on Tier Trac tool.)Oversees monthly reports regarding status of updates. Oversees reports needed for presentation, and contributes to preparation of annual report regarding Privacy office for executive/board review.Ensures regulatory policies and procedures are updated regularly, the appropriate training information/notification, preemption information and complaint information for employee is currently reflected on corporate intranet.Obtains annual signed certifications, and ensures receipt from all workforce members. Updates training database as appropriate.Coordinates any changes in departmental policies/procedures as a result of internal audit/compliance activities, and ensures Tier Trac tool is updated appropriately.Tracks and reports on all complaints received, notifying Manager and Director of upcoming response deadlines.Monitors disclosures made throughout the corporation, identifying any questionable practices. Produces report on regular basis for executives/board regarding types, volumes, areas involved, etc.Monitors receipt of confidential communication and restriction requests. Makes request determination and communicates to Access Control Area.Oversees and monitors the client Tracking Database.Cooperates fully with the Office of Civil Rights, other legal entities and client officers in a compliance review or investigation.Participates in the annual evergreening process to assist client and subsidiaries with compliance for federal and state regulations.Participates in day to day guidance with the corporation’s regulatory requirements.Identifies oversees regulatory complaints (internal and external) and incidents. Works with the client and it’s subsidiaries on corrective action plans and mitigation stepsRequired Job Qualifications:Bachelor Degree in Business or Legal AND 2-3 years experience in privacy officeKnowledge of and experience interpreting federal and state laws.Knowledge of client’s various functional areas and departments.Ability leading departmental or divisional projects.Negotiation, analytical, facilitation, communication and presentations skills.PC proficiency to include Word, Excel, PowerPoint and Lotus NotesPreferred Job Qualifications:Conceptual understanding of technology systems and applications.Experience with web design software application(s).Notes:3 days onsite and 2 days remoteVIVA is an equal opportunity employer.
