This is a hybrid position where the selected candidate will be required to work two days a week in office.Description:The client is seeking the talent of someone with strong administrative skills to help manage the business requirements for the Commonwealth’s software procurement approval process. This position will focus on facilitating and processing agency requests received by the Delivery Center from supported agencies, ensuring clear, consistent communication with customers throughout the process. In addition, this role is responsible for maintaining and overseeing the Delivery Center’s tracking of over 100 active software renewals, ensuring accurate status reporting, timely coordination, and proactive follow-up to support successful renewals.The software approval process is long and complex, in addition to the software renewals there is currently a backlog of approval requests. To succeed in this position, candidates must be self-starters who are highly organized and detail-oriented, with strong customer service and communication skills.Primary Responsibilities Include:Working directly with customers in our agencies to gather and document business requirements needed to comply with established policies and procedures within the organization.Gathering, preparing, and submitting information and documentation to the various security, legal, and administrative approvers required in the process.Meeting with a diverse group of stakeholders, including legal, business, and security teams, to help ensure timely processing and approval of business requests.Collaborating with vendors to ensure clear communication of Commonwealth requirements and required cloud use documentation.Reviewing, interpreting, and providing input on contract agreements and other business-related contractual documents.Researching whether there is an existing solution in use within the Commonwealth that meets documented business needs.Providing general guidance to customers on the business approval process and its underlying policies and procedures.Maintaining and managing the Delivery Center’s centralized tracking of more than 100 software renewals, including monitoring timelines, coordinating renewal activities, and ensuring accurate status updates.Maintaining and updating enterprise software catalog specific to vendor product offerings and agreement requirements ensuring most recent updates are available and presented.Overall tracking and management of the backlog of requests.Facilitating requests for additional information that may arise during the approval process.Serving as a primary point of contact and subject matter expert for both agency and Delivery Center staff.Required Experience:· 2+ years of full-time experience procurement, program management, or process administration (does not need to be in an official project/program manager role).· 3+ years of full-time experience working directly with customers.· 1+ year of experience in vendor management.· Strong leadership, organizational, and coordination skills.Skill - Required / Desired - Amount of ExperienceExperience managing projects, program management, or process administration - Required - 2 YearsFull-time experience in a customer-facing role - Required - 3 YearsExperience in vendor management - Required - 1 YearsNotes:Hybrid position - on-site required Mondays and TuesdaysThis is a hybrid position where the selected candidate will be required to work two days a week in office.Full-time position - 37.5 hours per week VIVA is an equal opportunity employer.
