Description:

The Project Planner will oversee client facilities projects, including Capital Improvement Projects (CIP) for replacement and rehabilitation, client compliance upgrades, and the rollout of electronic keys (Medeco System). This role requires expertise in managing the planning, design, and construction phases of municipal infrastructure projects, ensuring timely and cost-effective delivery while coordinating with internal teams, consultants, and contractors.

JOB REQUIREMENTS:
Qualified candidates should possess a bachelor’s degree in business Administration, communications, or a related field, along with at least 1–3 years of experience in a project coordination or administrative support role. Familiarity with project management with the best practices and tools like Teams, Sensei IQ or Microsoft Project is essential.
Participate in weekly scrum meeting with the Data Services Management team.
An equivalent combination of related experience and education may be considered.

Daily responsibilities include:
Participating in weekly scrum coordination meeting with the Data Services leadership team
Participating in project design meetings
Handing information flow between customers and the Data Services leadership team.
Regularly schedule and attend meetings between stakeholders, clients, employees and the Data Services team manager.
prepare the presentation items for the meetings and will share their meeting notes with the Data Services team manager.
Ensure follow up on all project activities with the necessary parties who are assigned these responsibilities.
Proactive communication to avoid potential problems and technical challenges
Plan and manage project goals, project schedules and new information
Manage current projects and coordinate all team members (across departments) to keep workflow on track
Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
Maintain effective project correspondence with stakeholders by preparing and reviewing project proposals, memos, meeting minutes and emails
Communicate with clients to identify, define, and manage project requirements, scope and objectives
Adhere to budget by monitoring expenses

PREFERRED QUALIFICATIONS Includes the job requirements listed above, plus:
Preferred qualifications include experience supporting project managers in technical or operational settings, strong proficiency in Excel and PowerPoint, MS Project, Sensei IQ, and the ability to manage shifting priorities with professionalism and efficiency. A team-first mindset.
