Senior Administrative Assistant

Duties & Responsibilities
Leadership: Executive support of VP R&D and VP, Marketing.
Office Management: Oversee daily office operations, ensuring efficient workflows and adherence to organizational policies.
Team Leadership: Manage and supervise administrative staff within Marketing and R&D team, providing guidance, training, and performance evaluations.
Meeting Coordination: Organize and coordinate meetings, events, and travel arrangements for senior management in collaboration with HST Leadership administration.
Communication Management: Handle sensitive correspondence and communications, ensuring confidentiality and professionalism.
Budget Oversight: Assist in budgeting and expense tracking for administrative functions, ensuring compliance with financial policies, Travel and expense report management.
Project Management: Monitor and report on administrative activities and project progress, providing updates to senior management.
Resource Management: Maintain and manage office supplies and equipment, ensuring availability and functionality.
Compliance Assurance: Ensure compliance with organizational policies, regulations, and best practices.
Special projects and other duties as assigned

Qualifications
Must have excellent oral and written communication skills to effectively communicate with high levels of the organization.
Ability to work independently and identify proactive solutions to complex situations.
Manage multiple tasks with high attention to detail and high degree of accuracy and timeliness.
Advanced Microsoft Office skills.

Education/Experience
HS diploma or equivalent. Associate degree or professional certification preferred.
8+ years experience supporting Leadership staff as a Sr Administrative professional.

Contract to Hire
Hybrid: 3 days per week in the office
