Position Overview


Description:

Customer focused/Purpose of the Role

The Southeast Region Administrative Team serves as a critical support function for employees, customers, and leadership. The role is designed to deliver consistent, high-quality administrative support, ensure smooth office operations, enhance employee experience, and strengthen customer relationships across the Southeast Region.
Administrators are expected to operate with professionalism, discretion, collaboration, and a strong customer-service mindset while supporting client’ values and local, as well as regional, objectives.

Core Job Expectations

Employee Support & Experience
Main point of contact for client location
Work closely with Senior Team Assistant for the MSY Area at our Gulfport, MS location
Coordinate new hire onboarding when needed
Coordinate computer equipment and IT service requests when needed
Support fleet vehicle coordination and related processes
Serve as a trusted point of contact for area employee inquiries and guidance


2. Front-Line Support for client location

Support with a direct phone system environment
Professionally assist callers in identifying the appropriate contact
Route inquiries efficiently to ensure timely resolution and support


3. Mail, Shipping & Package Coordination

Pick up and distribute mail and parts
Manage correspondence distribution
Coordinate UPS, FedEx, and courier services
Ensure timely handling of sensitive and priority materials


4. Office & Employee Engagement Activities

Organize and support local needs (e.g., Material, catering needs, snacks etc.)


5. Office Warehouse Operations & Facilities

Warehouse logistics- and organization
Shipping & Receiving tasks
Research of packages received and notification to Project responsible personnel
Vendor Contract Management as needed for local and other locations such as New Orleans
Coffee services
Pest control
Janitorial services
Shredding services
First-aid kit suppliers
Lead renewals, remodels and projects for the office, adjacent/warehouse, etc.


6. Technology & Business Tools Proficiency

Working knowledge of:
Microsoft Outlook
Microsoft Word
Microsoft Excel
Microsoft PowerPoint
Copilot
Knowledge of SAP a plus
Ability to learn and adapt to digital tools


7. Other

Coordinate and collaborate with new regional and local initiatives
Coordinate and collaborate with other local business needs

Shift hours: 8-5 OR 7-4PM, 1 HOUR LUNCH (40 HRS PER WEEK)
